Guidelines for SCA Events Held in Atenveldt

Please see the Guidelines for SCA Events Within The Kingdom of Atenveldt document. This document defines the differences between Kingdom Calendar Events, Locally Publicized Populace Events, and Populace Meetings. It also lists the requirements that must be met for a Kingdom Calendar Event (of which Kingdom-level events are included).

What Makes Kingdom Events Different From Local Events

The main differences between a Kingdom-level event and a local-level event are in funding and the officers responsible for running the event.

The money to pay for the site, food, and other items needed to run a Kingdom event come from the Kingdom of Atenveldt's bank account. In the case of a local level event, the money to pay for these things comes from the bank account of the local branch hosting the event. Because of this, a bid must be submitted (see "Bidding for Kingdom Events" below).

For a Kingdom event, the people running the different areas are under the responsibility of the appropriate Kingdom officers. For example, the Kingdom Exchequer is responsible for the running of Troll, the Kingdom Earl Marshal would be responsible for arranging for Marshals on the fighting field, etc. At a local-level event, the local Exchequer would be responsible for Troll and the local Marshal would be responsible for the fighting field, etc. These officers may not be there themselves, but they are responsible for arranging to make sure that someone qualified will be there to take the responsibility. The Event Steward's job is to help coordinate with the appropriate officers to ensure that they have any information they need for each of their areas. It is best to start talking to these people when putting together a bid. They will be able to answer questions such as space requirements, etc. Contact information can be found on the Kingdom website.

Kingdom-level events are typically larger than local level events and usually have Royalty attending. This can add additional challenges to running an event. Please see the Royalty and Courts page for additional information.

**Note: Be careful not to confuse the terms "Kingdom event" and "Kingdom Calendar event". A "Kingdom event" is funded by, and the responsibility of, the Kingdom. It does appear on the Kingdom Calendar so it is also a Kingdom Calendar event. A "Kingdom Calendar event" is an event that appears on the Kingdom Calendar, regardless of which group is responsible for putting it together.

Types of Kingdom-Level Events

There are 6 events in Lex Atenveldtus that must take place each year:

  • 2 Crown Tournaments (section VIII. C. 1.)
  • 2 Coronations (section VIII. C. 2.), each with a King's Champion Tournament (section VIII. C. 3.)
  • 1 A&S Competition (section VIII. C. 4.)
  • 1 A&S Collegium (section VIII. C. 5.)

In Atenveldt, it is also customary to have a Kingdom Twelfth Night celebration, some sort of tournament to raise money for the Southwind, and a couple Kingdom War practices prior to Estrella War.

Bidding for Kingdom Events

Someone wishing to put on a Kingdom-level event must submit a bid to the Kingdom Financial Committee (KFC) according to their procedures. Please see the Bidding for Kingdom Events page for information about the processing and timing of submitting bid, feasts, mandatory profits, etc. The decision on what group is awarded the bid rests with the KFC.

**NOTE: Someone wishing to put on a local level event, will need to follow the procedures of the local group. As each local group may have a different bid procedure, it is best to contact the local Seneschal. They would be able to answer any questions you may have and can inform you of that group's bidding process.

What to Charge for an Event

Figuring out how much to charge for an event can be difficult. The Exchequer Handbook - Local (chapter 8, section I. D.) has some information that can help.
