Lex Atenveldtus section VIII. C. 4. specifies that in Atenveldt, there shall be a Kingdom Arts and Sciences Competition.
Mandatory Projected Profit
Per Thegn Robin, Kingdom Seneschal (May 7, 2006 Kingdom Calendar meeting), Kingdom Event bids must have a projected profit as listed in the yearly Kingdom budget. The Kingdom Financial Committee will not consider bids that do not meet this projected Kingdom profit margin. As per the Atenveldt 2007 Annual Budget printed in the March 2007 Southwind, Kingdom A&S Competition must make a minimum of $500 profit for the Kingdom of Atenveldt.
Kingdom Officer Involvement
Since this is a Kingdom event, the appropriate Kingdom Officers will be in charge of their areas. As soon as you receive notification that you have been awarded the bid, contact them and request their assistance. They generally expect to be running each area, but it is courteous to ask and not just assume they will be helping. When you contact them, remember to ask what assistance they will need from you.
The Kingdom Officers involved are generally the following:
- Kingdom Arts and Sciences Minister - in charge of the judging aspects
- Kingdom Herald - in charge of any court heralding needed
- Kingdom Exchequer - in charge of Troll
Sometimes the Kingdom Officer themselves are not able to attend the event, in which case they will find an authorized individual to cover their area.
Space Needs
This event has needs that differ from many events:
- Judging Rooms - These rooms are for the entries to be displayed in for the judges to view. It works well if there are at least 2 rooms so 1 room can be opened for populace viewing while judging is going on in the other room.
- Performance Room - If there are entries for performances (ie: music, dance, etc) it is best to have them in a separate room from the static arts. This room should be big enough to allow the performance, an area for judges to view from, and a viewing area for those populace members that would like to attend.
- Great Hall - This room is for members of the populace to gather in throughout the day. The day will be taken up with a lot of judging time and the populace cannot be in the Judging Rooms while judges are at work. This room will also be needed for opening and closing courts.
- Royal Ready Room - There will probably be Kingdom Royals in addition to Baronial Royals. If possible, try to get 2 Ready Rooms.
- Scribal / Counting Room - If possible it is best to have these as separate rooms. There will be a room needed for the judging sheets to be reviewed and the scores counted. It is easier for everyone involved if they have a quiet room to do this in. The Scribes will need room to finish award scrolls and enter names on scrolls once the winners have been determined.
Things to Consider
- The Kingdom A&S Minister is in charge of running the competition side of things the day of the event, however keep in contact with them throughout the planning of the event. This way you can offer assistance as needed, will have an idea as to what is planned for the day, and can be more efficient as needs arise.
- This will be a long day of waiting while judges to their job. It's a good idea to have things for the populace to do while waiting. Work with the Kingdom A&S Minister so that what you schedule will work with their schedule.
- There will be an opening and closing court. Make sure to contact Their Majesties Herald to try to find out what they will need from you and if there is an idea as to when they plan on doing them.
