
Not all sites will require proof of SCA insurance. Make sure to ask when booking the site. It can cause a lot of trouble, and cost extra money, if you don't find out ahead of time. It has happened that at the last minute a site asks for the insurance that they forgot to mention earlier. It is best to ask to prevent this unexpected problem from coming up.
When talking to site owners about insurance let them know that the SCA holds a general insurance policy and ask them if this will work. This certificate is free and can be downloaded from the SCA site. It will be easiest for you if they will accept this copy. You may have to obtain a certificate from the SCA Corporate Office if a site owner wants a more official copy, wants to be listed on the Policy as an “Additional Insured”, or if you have equestrian activities.
See the Insurance Certificate Ordering Instructions for information on how to obtain an insurance certificate. Please note that you must allow 30 days for delivery. If you do not order it at least 30 days prior, there will be a $100 late ordering fee charged. Make sure to ask the site owners for their insurance requirements as soon as possible. If they do not require an "Additional Insured" the certificate is free. If they do require an "Additional Insured" the certificate will cost $50. "Additional Insured" means that the site owners want their name to be listed on the insurance policy.
If the Additional Insured fee applies, this figure should be listed on your Event Budget Report form and Event Report form under "Moved to Another SCA Account" towards the bottom of the forms as per SCA Exchequer Handbook - Local Level (chapter 8, section III. A.). For Atenveldt it would be listed under "Outside Kingdom" as the payment goes to the SCA offices in California.
Keep in mind that the SCA renews the insurance policy on a yearly basis. The insurance certificate for an event has to be ordered within the year that the event will be held. For example: if the event is held in February you will have to wait until after January 1st before ordering the insurance certificate. If the event is in January you will have to order the certificate in December to meet the 30 days prior ordering deadline. Make sure to include a note with your certificate request that the event will be held next year and you need a certificate that will be valid at that time.

If archery will be held at an event, make sure to ask the site owners if they will require a separate insurance policy for this. For example: for the 2005 Highland's War the archery was held at Fort Tuthill (the same site as Highland's War) however, the range belonged to the Archery Club which required a separate insurance policy (the Archery Club falls under a separate organization than the camp grounds). As per the Seneschal's Handbook (section IX)v "Fire Arts" (ie: flame throwing, flaming batons, etc) is NOT an activity sanctioned by the SCA, therefore it will NOT be covered by any SCA insurance.
