Challenges Specific to Collegiums
Running Collegiums can present some unique challenges. You will have to worry about the same general issues as with other events; however, you will also have to take the following things into consideration:
- Locating a site that has multiple rooms available. It works best if each tract of classes has a set of rooms grouped together. Also, if there are going to be fighting classes you will need an area that can allow for that.
- Drafting teachers and communicating with them. Find out what special requirements each teacher needs, such as supplies. Try to help arrange things wherever possible. If something the teacher has planned isn't possible, explain the reason to the teacher - don't just drop their class and not return their calls. People are usually understanding if they are aware of the problem. Sometimes the teacher may be able to come up with an alternative that works.
- Organizing the schedule regularly. Be prepared to update the schedule frequently, ESPECIALLY on the day of the event!
- Posting a schedule as soon as possible so the populace can make plans. Have the schedule include the name of the class, the name of the teacher, a short description of the class, limitations (if any), fees or required equipment (if applicable), and the time and room for each class.
- Having signs clearly marking rooms, eating areas, changes to the schedule, etc.
